Media & Photography Policy

Second Star Youth Theatre documents programs and performances to celebrate participant achievements, promote our programs, and maintain organisational records.

We are committed to protecting the privacy, dignity and safety of all participants, particularly children and young people.

 

1. Purpose of Photography & Recording

Photographs and video recordings may be taken during:

  • auditions

  • rehearsals and workshops

  • dress rehearsals

  • performances

  • group photos and program activities

These materials may be used for:

  • promotional materials and future program advertising

  • website and social media content

  • theatre programs, cast lists and performance materials

  • news articles, reviews and media coverage

  • organisational records and historical archives

 

2. Consent and Participation Requirement

Second Star Youth Theatre documents auditions, rehearsals and performances through photography and video recording.

By registering for and participating in our programs, parents/guardians and participants acknowledge and consent to the capture and use of photographs and video recordings featuring the participant for the purposes outlined in this policy.

Participation in performances and group media is a standard component of our programs.

If a parent or guardian has specific concerns regarding media use, they are encouraged to discuss these with us prior to participation. While reasonable considerations may be discussed, participation indicates acceptance of this media consent requirement.

 

3. Identification of Participants

Participants may be identified by name in connection with performances and related publicity.

In most circumstances, first names only will be used. However, full names may be used in formal contexts such as:

  • theatre programs and cast lists

  • reviews and media coverage

  • award recognition

  • official publications and professional theatre contexts

We take reasonable steps to ensure identifying information is shared appropriately and with consideration for participant safety.

 

4. Protection of Children’s Privacy

To support child safety and privacy:

  • Personal contact details are never published.

  • Images are selected and used respectfully and appropriately.

  • Content will not be used in a manner that could compromise a participant’s safety, dignity or wellbeing.

 

5. Use by Parents and Audience Members

We understand families wish to capture special moments.

To protect the safety and privacy of all participants and to comply with licensing requirements:

  • Audience members are not permitted to photograph or record performances.

  • Official staged photo opportunities may be provided at designated times.

  • Any permitted images are for personal use only.

  • Images or recordings must not be shared publicly without permission from those featured.

  • Content must not be used for commercial purposes.

  • Authorised production photographs may be made available to participants and families following a performance. These images may be shared publicly, including on social media, provided Second Star Youth Theatre is credited where appropriate and any captions or comments remain respectful and appropriate. Individuals should not identify or tag participants without consent.

Second Star Youth Theatre reserves the right to restrict recording where necessary for child safety, licensing, or venue requirements.

 

6. Performance Recordings and Archival Footage

Second Star Youth Theatre records performances for archival and participant access purposes.

An official recording may be shared with participants and families for private viewing.

To protect participants and comply with copyright and licensing obligations:

  • Archival recordings are for private use only.

  • Recordings must not be copied, edited, uploaded, screenshotted or shared publicly.

  • Unauthorised distribution may breach copyright and child safety protections.

 

7. Ownership and Copyright

All photographs and recordings taken by Second Star Youth Theatre or its authorised representatives remain the property of Second Star Youth Theatre.

These materials must not be reproduced, altered, distributed, or used for promotional purposes without written permission.

 

8. Social Media Use

When sharing images or videos online, we aim to:

  • represent participants respectfully

  • avoid unnecessary identifying information

  • moderate comments where possible

  • remove content if safety or wellbeing concerns arise

 

9. Third-Party Photography & Media

From time to time, professional photographers, videographers or media organisations may attend performances or events.

Appropriate permissions will be obtained where required.

 

10. Withdrawal Requests

Parents or guardians may request the removal of an image or video featuring their child. We will make reasonable efforts to remove content from platforms we control; however, we cannot guarantee removal from third-party platforms once content has been shared.

Requests can be submitted via email.
